1. Information we handle

• Account information: your name, email address, password hash for email sign-in, sign-in provider, and account preferences. Google sign-in supplies profile information needed to create or access your account.
• Organization and project information: organization details, team roles, invitations, project details, uploaded photos, text updates, comments, and associated timestamps and author information.
• Communications: support requests and information you send us by email or through the application.
• Technical information: IP addresses and request or error information needed to operate the service, protect accounts, and diagnose problems.

Content may also be supplied by an organization administrator, another project member, or a visitor commenting through a shared project link. Only upload personal information you are authorized to share.

2. How information is used

We use information to create and authenticate accounts, manage team access, store and display project records, generate exports, send account and invitation emails, respond to support requests, enforce plan limits, and maintain service security.

Where data protection law requires a legal basis, these purposes rely on providing the requested service, legitimate interests in operating and securing it, or legal obligations. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing.

Organizations decide what personal information to include in their projects and who can access it. Contact the relevant organization about its use of your project data; contact JobMemo about account administration and operation of the service.

3. Project access and sharing

Project information is available to users with the relevant access permissions. Creating a share link makes the content exposed by that link available to anyone who has it, without an account. Visitors can also comment if public comments are enabled. Treat share links as confidential and revoke them when access is no longer needed.

Recipients can save photos or exported reports. Revoking a link or deleting a project cannot remove copies already saved by someone else.

4. Service providers

Hosting, database, photo storage, and email delivery providers process information needed to run JobMemo. If you choose Google sign-in, Google also processes information under its own privacy policy. Information may be disclosed where legally required or necessary to address abuse and protect the service or its users.

When no language preference is saved, the landing page can send your IP address through our server to ipwho.is to determine your country and suggest a language. You can change that choice in the language selector. This lookup does not use your device's GPS location.

Provider processing locations may differ from your country. Contact us for details about the providers, processing locations, and any applicable international transfer safeguards for your use of the service.

5. Cookies and browser storage

The website stores your selected language in local storage. The application also uses local storage for authentication tokens. Where session-based sign-in is enabled, essential session cookies support authentication. These mechanisms let the service remember your choices and keep you signed in.

You can clear or block cookies and local storage in your browser. Doing so may sign you out, reset your language choice, or prevent authentication features from working.

6. Retention and deletion

Account and project information is kept while needed to provide the service, subject to deletion requests and applicable legal requirements. Retention depends on the type of record, whether the organization still needs it, and any security, dispute, or legal obligations. Contact us for retention details relevant to a particular record.

Authorized users can delete project content. Account deletion may require transferring or deleting owned projects and assigning another organization administrator first. Deleting your account does not automatically delete the organization's project records; author information may remain with those records. Contact us and the organization if you need personal information removed from retained project content.

7. Your choices and rights

You can update account details, manage project access where permitted, revoke share links, and export project reports. Depending on applicable law, you may also have rights to access, correct, delete, or receive a portable copy of personal information, restrict processing, object to certain processing, withdraw consent, or complain to your data protection authority.

8. Changes and contact
